02 / Admissions and student CRM

Student recruitment and relationship management

Admissions decide an institution's next four years, yet in most places they still run on spreadsheets, call lists and a portal that only collects fees. Leads go cold, documents are checked by hand and nobody can say which campaign produced which enrolment.

We run recruitment and student relationships as one pipeline, built on the same record the student will carry through exams, certification and alumni life. Every enquiry, counselling call, document and rupee is traceable, and the student data is handled under the DPDP Act from the first form.

The problem we solve

In a typical admissions season, enquiries arrive from the website, social media, education fairs and agents into five different inboxes. Counsellors call the same student twice and miss others completely. Marksheets are uploaded as blurry photos and checked one by one. Scholarship eligibility is worked out in a spreadsheet that one person understands. Once the student is enrolled, the admissions data is retyped into the ERP, and by the second semester nobody notices the student who has stopped attending until they have already left. Parents hear from the institution only when a fee is due.

What you have at the end

  • Every enquiry captured in one CRM with its source, counsellor and status
  • A funnel report showing cost per application and per enrolment, by channel
  • Documents verified through DigiLocker where available, with manual checks only for the exceptions
  • Scholarships applied by written rule, with an audit trail for each decision
  • Early-warning lists of at-risk students that mentors act on during the semester
  • Consent and notices under the DPDP Act built into every form, including verifiable parental consent for students under 18

Scope of service

01

Admissions CRM, lead generation and performance marketing

We set up an admissions CRM that captures every enquiry from every channel, assigns it to a counsellor and tracks it to enrolment or loss. We plan and run lead-generation and performance-marketing campaigns, and measure them on enrolments, not clicks. Every form carries a DPDP-compliant notice and consent, so your marketing data is lawful to use.

Deliverables

  • Configured CRM with lead capture from website, social, fairs and partners
  • Lead scoring and counsellor assignment rules
  • Campaign plan and media budget by programme and region
  • Weekly funnel dashboard: enquiry, application, offer, fee paid, enrolled
  • Consent and notice text on every lead form
02

Counselling desk

A counselling desk, staffed by your team, ours or both, that talks to applicants by phone, WhatsApp, email and video in the languages your applicants speak. Counsellors work from scripts and programme sheets you approve, and every conversation is logged against the student's record. We train counsellors to advise honestly, including telling a student when a programme is not the right fit.

Deliverables

  • Counselling playbook and approved programme sheets
  • Multi-channel contact set-up with call and message logging
  • Counsellor training and quality reviews
  • Daily and weekly counsellor performance reports
03

Application and fee portal

A mobile-friendly application portal that collects exactly what each programme needs, takes fees through your chosen payment gateway and issues receipts automatically. Applicants can see their status without calling the admissions office. The data flows straight into the student record, so nothing is retyped at enrolment.

Deliverables

  • Programme-specific application forms with save-and-resume
  • Fee collection with payment-gateway integration and automatic receipts
  • Applicant status tracker
  • Direct hand-off of applicant data to the ERP or student record
04

Scholarship engine

We write your scholarship and fee-concession policy as rules that the system applies the same way every time: merit, need, category, sibling, sports or any other criterion you set. Exceptions go to a named approver and are recorded. The engine also tracks external and government scholarships so students do not miss deadlines.

Deliverables

  • Scholarship policy translated into configurable rules
  • Automatic eligibility calculation at application and renewal
  • Approval workflow and decision log for exceptions
  • Scholarship cost reports for finance and management
05

DigiLocker/NAD document verification

Where a student's marksheets and certificates are available in DigiLocker, the service is designed to pull them with the student's consent instead of accepting scanned copies. That removes most forgery risk and most manual checking. Documents not available in DigiLocker go to a verification queue with clear rules. Our DigiLocker requester or issuer onboarding status is not stated on this page.

Deliverables

  • Consent-based DigiLocker document fetch integrated with the application portal
  • Verification queue for documents not in DigiLocker
  • Verification status recorded on the student record
  • Exception report of mismatched or suspicious documents
06

International recruitment, inbound and outbound

For inbound international students, we handle multi-country campaigns, document evaluation, offer letters and the institution's side of visa and registration paperwork. For outbound, we support study-abroad, semester-exchange and dual-degree programmes with partner institutions. We follow Indian and destination-country rules on agents and advertising, and we do not use agents who charge students undisclosed fees.

Deliverables

  • International recruitment plan by target country
  • Equivalence and document evaluation workflow
  • Offer, visa-support and arrival checklist
  • Agent agreements with a code of conduct and fee disclosure
  • Outbound mobility tracking for exchange and dual-degree students
07

Retention and at-risk analytics

Recruiting a student costs far more than keeping one. We combine attendance, LMS activity, assessment results and fee status into an early-warning list for each mentor, refreshed every week. The point is a conversation with the student in week six, not a withdrawal form in week sixteen.

Deliverables

  • At-risk indicators agreed with academic leadership
  • Weekly mentor lists with the reasons each student was flagged
  • Intervention log and follow-up tracking
  • Semester retention report by programme
08

Parent communication and alumni relations

Parents get timely, useful updates on attendance, results, fees and events in their language, through channels they actually read, with communication preferences respected. When students graduate, the same record becomes an alumni profile for verification requests, mentoring, placements and giving. Communication is consent-based throughout, and under-18 students' parents are part of the consent flow.

Deliverables

  • Parent communication calendar and templates in Indian languages
  • Parent app or message channel set-up with preference controls
  • Alumni directory and verification-request handling
  • Alumni engagement programme: mentoring, events and placement referrals

How an engagement runs

  1. 01

    Audit last season

We study your last admissions cycle: where enquiries came from, where they were lost, what each enrolment cost and how long verification took.

  2. 02

    Design the funnel

We agree targets by programme, the channels and budget to reach them, the counselling model and the scholarship rules, all approved by management before the season opens.

  3. 03

    Build and connect

CRM, portal, payment, DigiLocker and student-record integrations are set up and tested, with DPDP notices and consent in place on every form.

  4. 04

    Run the season

Campaigns, counselling and verification run with a weekly funnel review. Budget moves to the channels that produce enrolments.

  5. 05

    Retain and review

After enrolment, retention analytics and parent communication take over. At the end of the cycle you get a full season report to plan the next one.

Questions, answered

Can you guarantee a number of admissions?

No, and you should be wary of anyone who does. We commit to the work, the reporting and the funnel targets we agree together, and we show you exactly what each channel produced. Where an outcome-based arrangement makes sense, we discuss it openly, with the risks on both sides written down. See our engagement models.

Do we have to replace the ERP we already use?

Usually not. We connect the CRM and application portal to your existing ERP so that enrolled students flow across without retyping. If the ERP cannot integrate at all, we tell you and set out the options.

How does the DPDP Act affect admissions?

Every lead form and application collects personal data, so each needs a clear notice and valid consent, and you must use the data only for the purposes you stated. Many applicants to school groups and first-year programmes are under 18, which requires verifiable consent from a parent or guardian. The obligations under the DPDP Rules 2025 are being phased in, and we build to them now. See DPDP.

Who owns the student and lead data?

You do. We process it on your behalf under a written data processing agreement, host it in India and hand over a complete export whenever you ask, including at the end of the engagement.

Do you use admission agents?

Only if you want them, and only under written agreements with a code of conduct and disclosed fees. We do not work with agents who charge students undisclosed amounts.
